Legacy Event Calendar

What is the Event Calendar?

  1. The Event Calendar shows you a variety of events related to your agency. An event can be any activity related to your agency that you want to mark in the calendar, such as meetings, training, birthdays, vacations, holidays, special occasions, outreach event, marketing event, etc.
  2. Event items can be viewed by the users that you made the event available for. You can even prevent certain users from having access to the entire event calendar inside their advanced security settings in their profile.

Enable/Disable the Event Calendar


  1. If not used by the agency, Admins can choose to turn on or off any of the available communication features such as Chatboard, Events and News.
  2. Once a feature has been removed it will no longer show up on the left-hand menu for all of your users. If the feature had items they will remain in the system and show up again if you later choose to turn on the feature.

Steps to turn on or off communication features such as Chatboard, Events and News:
  1. Click on "Admin Tools" on the left hand menu.
  2. Click on the "Tools" tab.
  3. Scroll down to Communication Features section
  4. Check mark those features you want to keep or un-check those you want to remove (chatboard, event calendar, news)
  5. Click on "Save all settings" at the top of the page

View Events

Steps to view Events in the Event Calendar:
  1. Click on "Events" on the left hand menu.
  2. The top of the Event Calendar shows you what month is displayed. You can go to previous or future months by clicking on the top corners of the calendar.
  3. In the calendar you will see event titles. If you click on any of the listed event titles you will be taken to the details of that event containing:
    1. Type of event (category)
    2. Start date
    3. End date
    4. Reoccurrence
    5. Detailed description
    6. Who is invited
    7. Location
    8. Map URL (if applicable)

Add Events

  1. Admins and Supervisors (and those users with special security settings) can enter events in the event calendar.
  2. An event can be anything that you want to mark in the calendar, such as meetings, training, birthdays, vacations, holidays, marketing/outreach activities, special occasions, etc.
  3. You can specify if the event should be visible to everyone or restricted to only Admins and/or board members and/or trainers.
  4. You can enter ad hoc or recurring events.
Steps to add events:
  1. Click on "Events" on the left hand menu.
  2. Click on "Add an Event" button.
  3. Enter the name of the event (title), start and end date and time, frequency, detailed text, specify who is invited, add more details about the location, select an event category and specify who can view the event.
  4. Click on "Add" button to save your event details (or click on "cancel" to leave this page without making any changes).
  5. Your event details will now be visible on the event calendar.
Notes
Note: if you entered an outreach/marketing event in the calendar you can also run statistics on it in the statistics feature.

Edit or Delete items in Event Calendar

Admins and Supervisors (and those users with special security settings) can edit and delete all events in the event calendar.
Steps to edit or delete events:
  1. Click on "Events" on the left hand menu.
  2. Look up the event you want to edit (use < > arrows at the top to display different month, back or forth).
  3. Click on the Event text.
  4. You will see all event details. Click on the "Edit" button at the top of the page.
  5. All fields in the event are editable, make your changes and click on "Save" at the top of the page.
  6. If you want to delete the event, click on the "Delete" button which available once you selected the "Edit" button.
  7. Once you confirm the deletion, the event will be removed from the system.
Warning
Troubleshooting Tip: Unable to find an event
Some events are restricted for certain users only, please check with your Admin if this is the case with the event that you are looking for.
If not, please have your Admin submit a ticket with iCarol Support for assistance.
