Legacy Shifts: Customize and Print the Shift Calendar
Customize Shift Calendar View
Admins and Supervisors can make the following changes to the display of the shift calendar.
- You can change the time display to a 24hr format (ie 17:15 instead of 5:15pm)
- You choose what calendar view to apply to your agency. Classic view or graphical view.
- The classical shift calendar aggregates the information which allows you to see a quick monthly snaphot, the graphical calendar shows more details right away up to 2 weeks at a time.
- In the graphical view calendar you can also determine how many weeks are displayed at a time and the start and end times.
Steps to change the time display to a 24hr format:
- Click on "Admin Tools" on the left hand menu.
- Click on the "Shifts" tab.
- Scroll down to the "times when listing shifts" text and check the check box.
- Click on the "save all settings" at the top of the page.
Steps to change the choose the shift calendar view (classic or graphical):
- Click on "Shifts" on the left hand menu. By default the classic view is shown for all users unless it was changed by an Admin.
- Click on "here" text in the "Preview an alternative view of the shift calendar here " text string.
- The graphical calendar view will show on the page and now you have the option to permanently select this view for you agency by checking the "Use this page as the main Shifts page for all your users" and then click on "save settings" button.
- If you want to revert back to the classical view for your agency just deselect the check box again and click on "save settings."
Steps to customize the display in the graphical calendar view.
Inside the graphical view calendar is a admin settings box at the top of the page.
- To make this view the default View for your organization, check 'use this page as the main Shifts page for all your users'
- Here you can select the starting date, starting time, end time and number of weeks to display
- You can also choose the color scheme.
- "iCarols normal shift colors" display the different shift status as explained at the bottom of the page. (ie if the shift is open, if shift coverage is needed, etc)
- "Colors defined when shifts were created" display shift in their defined color regardless of shift status.
- Click 'Save Settings' to activate any changes you made.

Troubleshooting: I can't access an Open Shift (calendar display is gray or white)
If the shift calendar displays as (1) solid gray or (2) white with dates outlined in black, you will not be able to view shifts.
1. If the date you wish to access on the Shift calendar displays in in gray, you need to select one or more shift names from the filter list. This will either appear in yellow just below the shift calendar, or by clicking a link that says "filters" just above it. Selecting a shift name causes all occurrences of shifts with that name to appear on the shift calendar.
2. If the calendar on the main Shifts page displays white with black outlined dates, the selected date range is not yet available to be viewed by you. The administrators of your iCarol system control how far in the future people can sign up for shifts. Please contact them if you have questions about when a certain date will become available for you to see and sign up.
View and Save Printable Monthly Shift Calendar
When you have Shifts created, from the main Shifts page you can see all the Shifts for a selected month in a format that resembles a classic calendar page. On this page, you're able to see and do the following:
- The listed Shifts will either be "open" or list the name of the person that is assigned
- Specify if you want to show all shifts or only certain shift names
- Save and print out the monthly shift calendar
- Admin level users can go to Admin Tools on the Shifts tab to configure settings related to the calendar, in particular the setting to adjust 'Your message shown on monthly shift calendar'
How to Print a monthly Shift Calendar summary:
- Click 'Shift' in your left side menu
- If you use the 'Graphical View' click the link to 'Return to Classic View of the Shift Calendar'; if you're already viewing the classic view, proceed to the next step
- Select the Month you wish to print
- At the bottom of the yellow 'Shifts to Show' box, click 'Show monthly shift calendar' next to the printer icon
- A new window opens with the monthly shift calendar details
- At the top of this page select the checkbox(es) next to the shifts name(s) you wish to include; if your organization uses the Programs feature select the appropriate Program from the drop-down list or leave 'All Programs' selected
- You can print out this monthly shift summary by opening your printer controls (right click on the page and select 'Print...); por best printing results, change the orientation to 'Landscape'
- Scroll down to the bottom of this page to look for additional print options and tips
How to Save a monthly Shift Calendar summary: There are several options to save a monthly Shift Calendar summary, some of which are as follows:
- Complete the steps outlined above to print a monthly Shift Calendar summary, but instead of completing step 7, choose from the following:
- Option 1: Save as PDF: This option is only available when using Google Chrome
- Open your printer controls (right click on the page and select 'Print...')
- Select the destination you wish to send the document to (usually a printer connected is selected by default)
- Select the option to 'Save as PDF' (if available)
- For best results, change the orientation to landscape, and click 'Save' to proceed saving as you normally would
- Option 2: Copy and paste into a Word document
- Highlight all of the text on the page you wish to save, or press CTRL + A
- Open a Word document
- Right click and select 'Paste (Keep source formatting)'
- For best results, adjust the margins, size, and orientation of the page, and proceed saving as you normally would

Important Note: In 2024, iCarol released an update to the Shifts feature within iCarol. This update includes a mobile responsive design, modernized and simplified workflows, and enhancements for filtering and viewing the Shift Calendar. iCarol Support is working with individual customers to upgrade their Shifts to the new functionality.
