Legacy Shifts: View and Sign up for Shifts

View All Shifts

  1. All users can view all (open and assigned) shifts unless their profile has been restricted from accessing the shift calendar or if the shift belongs to a special program they are not assigned to.
  2. There are 2 different calendar views available (Classic view and Graphical view). Admins and Supervisors can determine which calendar view should be applied for their agency. The classical shift calendar aggregates the information which allows you to see a quick monthly snapshot, the graphical calendar shows more details right away, up to 2 weeks at a time.
  3. Inside both Shift calendar views you have the option to view and print a monthly summary of the shift details. Learn more in the "View monthly, printable Shift Calendar" solution. 
  4. On the main shift page you can:
    1. View a monthly summary of your shift calendar - click on a day to view shifts
    2. Use filter options to narrow down your view on specific shifts
    3. Show monthly shift calendar (printer version)
    4. View a short tutorial on scheduling shifts.
    5. View a list of your upcoming shifts. Clicking on the listed shift will display the specific shift details.
    6. Read explanations of the different colors in the calendar.
    7. Admin tool options for admins and supervisors.

Steps on how to view Shift details:
  1. Click on "Shifts" on the left hand menu to get to the main shift page.
  2. In the classic view calendar you can click on a specific date in the calendar to view all shifts that day which you can access. (Shift time, shift name and shift status - open or assigned).
  3. In both calendar views you have filter options to choose
    1. Month, Year
    2. Shift name(s)
    3. Programs (if applicable)
    4. Time period
  4. Clicking on a listed shift will give you the options to:
    1. assign yourself to an open shift
    2. remove yourself from a shift you registered for
    3. ask for substitution on a shift you registered for
    4. update shift location (if applicable for your agency)
    5. save the shift you registered for in your outlook calendar
Troubleshooting: Cannot find an existing shift
All shifts that have been created will be listed on the "List all shifts" available from the Shifts main page (click on button towards the bottom). If you do not see the shift you created on the list, please check out the active filter selections above the listed shifts.
By default the system will hide all shifts that are "only once" to make the list more manageable. Remove the check mark from 'hide the once only shifts' and look for the shift you created.
In the event that you are looking for a shift in the past, remove the check mark from "hide shifts that are only in the past" 

View My Shifts

All users that have access to sign up for shifts can also view those shifts they signed up for.
It is possible to view upcoming shifts, and shifts in the past, on the shift calendar
When you see a list of shifts by date and time, you can click on any of the listed shifts and you will be taken directly to that shift on the calendar.
Viewing my upcoming Shifts:
On the home page
In your profile (which you can also reach by clicking on “My Profile” in the left hand menu)
At the bottom of the main “Shifts” page
Viewing my past Shifts:
In your profile (on "Vols & Staff" main page or click on “My Profile” in the left hand menu)

Sign up for Shifts

  1. In most cases, you can sign up for shifts that you can view in the shift calendar (unless you are a trainee and the trainee restriction rule is on, or the shift belongs to a program that you are not assigned to).
  2. For some of our clients, we have set up special Programs which might make some shifts visible to you, but not available for sign up.
  3. Also, some special shifts may be for 'On Call' workers and may only be assigned by an Admin or Supervisor.
  4. Your Admin determines the time window for which shifts are open for registration (ex now until 2 month in the future).
Steps to sign up for a Shift 
  1. Click on "Shifts" on the left hand menu.
  2. Click on the day on which you are hoping to sign up for a shift. You’ll be shown a list of shifts for that day just to the right of the calendar.
  3. If you see a shift marked as “OPEN” it is still available.Click on the word OPEN. (If there are multiple identical shifts available at the same time, it does not matter which one you choose).
  4. A box will now appear in which you can:
    1. Specify the location that you are going to take calls (if this feature is turned on by the Admin in the Admin tool) (note, some agencies may use this drop down list for other purposes).
  5. Click on "Sign Up" to register yourself on the shift. (or click "cancel" if you do not want to make any changes)
  6. You are now signed up for the shift.
Troubleshooting: Name not in drop-down list
User’s name does not show up in the drop down name list when you want to schedule a shift from the calendar.
  1. When your agencies has “Programs” defined: to be available in the list of people for a shift, a person needs to belong to the Program with which the shift is associated.
    1. Assign a worker to a Program:
      1. Go to the main Vols & Staff page
      2. Click on the link “Assign people to Programs and Roles”.
  2. Within an agency not using Programs, then all Vols & Staff appear in the list of people for shift assignment unless there is a specific restriction from this feature in their Profile, Admin page / Advanced settings. If they have permission to access Shifts, their name will appear on the list even if they are not phone workers, since they may be instant message counselors, work an office shift or do in-person counseling for which shifts could exist.

Save shift assignment into Outlook

Saving a shift that you have signed up for into outlook can be done during and after a person is assigned to a shift.
During the process of signing up for a shift you have the option to save the shift into outlook (look for the save to outlook button)

Steps to save to outlook on existing shifts:
  1. Click on "Vols & Staff" on the left hand menu.
  2. Click on the first name to open the user profile.
  3. Click on the "Shifts" tab (or scroll down to the shift section if all information on one page).
  4. You will see a list of upcoming shifts.
  5. Click on the shift that you want to save to outlook.
  6. In the box that appears click on the "save to outlook" button.  
  7. Follow the instructions inside outlook.  
Troubleshooting: I can't access an Open Shift (calendar display is gray or white)
If the shift calendar displays as (1) solid gray or (2) white with dates outlined in black, you will not be able to view shifts.
1.  If the date you wish to access on the Shift calendar displays in in gray, you need to select one or more shift names from the filter list. This will either appear in yellow just below the shift calendar, or by clicking a link that says "filters" just above it. Selecting a shift name causes all occurrences of shifts with that name to appear on the shift calendar. 
2. If the calendar on the main Shifts page displays white with black outlined dates, the selected date range is not yet available to be viewed by you. The administrators of your iCarol system control how far in the future people can sign up for shifts. Please contact them if you have questions about when a certain date will become available for you to see and sign up.

Ask for Shift Substitution/Swap Shift Coverage

  1. This feature is available if an Admin has enabled this setting in Admin Tools/Tools/Shifts
  2. The substitution request feature is typically used when a user tries to unregister themselves off a shift that is within the time window when you are not allowed to just remove yourself from the shift.
  3. Any user can make a substitution request on any of the upcoming shifts they are assigned to (within time frame selected in setting).
  4. Admins and Supervisors (and users that have been given special security permission) can create a substitution request on behalf of someone else.
  5. When a substitution request is being made, an email is sent to all active phone workers who have chosen to receive such notification. Another email is being sent back to you when someone accepts a substitution request.  

Steps to ask for shift substitution request:

  1. Click on "Vols & Staff" on the left hand menu.
  2. Click on the first name to open the user profile.
  3. Click on the "Shifts" tab (or scroll down to the shift section if all information on one page).
  4. You will see a list of upcoming shifts.
  5. Click on the shift that you want to ask someone else to cover for you (substitution request). 
  6. Click on the name and a box appears with the option to select "ask for substitution".
    1. You will be prompted to indicate if your shift “Will be covered” or “Will not be covered” – upon clicking either, an email is generated to all Admins (who have chosen to receive such notification) indicating which choice the you made, so that the Admin can take appropriate action.
    2. (In the past users would ask for a substitute and then simply not show up, whether or not they got someone else to accept the substitution request or not. This way, Admin know if a user truly intends to cover the shift or not, and the Admin has a way of knowing if they should start actively looking for someone to cover it).
  7. Once the substitution request has been made, an email is also sent to all the active phone workers who have chosen to receive such notification.
    1. It explains when the shift is, and politely asks someone to cover the shift for you. 
  8. You will get an email if someone accepts your substitution request.

Steps to remove a substitution request:

If you later change your mind and decide you don’t need help covering that shift (and no one has accepted the substitution request), you can always go back following the above steps but in step 6. click on “Remove Substitution” instead. If you do, you can still go back later and make a new request for a substitution for that same shift.

Accept Substitution Request

  1. In the Shift calendar, if you see a day colored yellow, that means someone else is asking for help in covering their assigned shift.
  2. Click on that day, and the list of shifts shows up to the right.
  3. Click on the name of the person highlighted in yellow.
  4. To take this shift for them, click on the “Accept” button.
  5. iCarol will send you and them an email, confirming the substitution has been accepted. (unless email notification has been turned off by Admin or the recipient has chosen not to receive these email notifications)
Important Note: In 2024, iCarol released an update to the Shifts feature within iCarol. This update includes a mobile responsive design, modernized and simplified workflows, and enhancements for filtering and viewing the Shift Calendar.  iCarol Support is working with individual customers to upgrade their Shifts to the new functionality. Please reach out to iCarol Support if you are interested in an upgrade. The instructions above are specific to the Legacy Shifts.
