Share/Hide your Vol-Staff Profile Information from Others

  1. Each user has the option to determine if he/she wants to share their user profile information with others in their agency.
  2. Admins and Supervisors can also edit the "share/hide profile information" option for any user.
  3. There are 2 ways in which you can control and restrict users (non-Admins and non-Supervisors) from viewing other users profile information:
Share/Hide "all" profile information with/from others.
This setting resides in the top left-hand side of each user profile and can be turned on/off by the user, the Admin and the Supervisor.
  1. If the profile is set to "Hide" then only the first name, two letters of the last name, and alias name are displayed throughout iCarol, and any non-Admins/non-Supervisors cannot view any further profile details.
  2. If the profile is set to "Share" then the first name, alias name, phone number(s) and shift preferences are displayed in the initial user list and when others click on the profile all information inside the profile tab, contact tab and skills and achievement tab will be displayed.

Administrative Settings to Share/Hide Vol-Staff Profile Information

This "Admin Tool" feature hides specified user profile information from other users who are sharing their profile. The following profile information can be hidden.
  1. Emergency contact details
  2. Email address
  3. Physical address
  4. Last name
  5. Phone numbers
  6. Shift information
  7. Birthday
  8. Skills and achievements (if applicable)
Steps to hide sensitive profile information:
  1. Click on "Admin Tools" on the left hand menu.
  2. In order to see all options change the drop down selection from "show standard settings" to "show all settings" above the tab list.
  3. Click on the "Vols and Staff" tab.
  4. Go to the section titled: Hide info from people who are not Admins or Supervisors.
  5. Click on "Save all Settings" at the top of the page.

Display Alias names only within iCarol

In "Admin Tools" in the listed tabs you choose the following alias options :
  1. Vols and Staff:
    1. "Allow people to specify an alias for calls and chats" setting enables the Alias field in Vols-Staff profiles and when an Alias is entered in a profile, the Alias will appear in parenthesis, in addition to the Vols-Staff First and Last Name throughout iCarol
    2. "Only show alias (not real names) in statistics" setting should only be enabled if an Alias is entered for all users in your system, as Statistics will only display the Alias and never display the Vols-Staff First and Last Name
    3. "Only show alias (not real names) in system emails" setting should only be enabled if an Alias is entered for all users in your system, as system emails will only use the Alias and never use the Vols-Staff First and Last Name
  2. Shifts:
    1. "Show alias, instead of full first and last name" setting should only be enabled if an Alias is entered for all users in your system, as the Shifts area will only use the Alias and never use the Vols-Staff First and Last Name
  3. Contacts & Profiles:
    1. "Show Vols-Staff' alias, instead of real name" setting should only be enabled if an Alias is entered for all users in your system, as Contact Records and Help Seeker Profiles will only use the Alias and never use the Vols-Staff First and Last Name
Troubleshooting: User Account last  names display 2 letters
Some Volunteer/Staff last names display only the first two letters followed by a period; other volunteers cannot see the profiles of these people.
This can happen when some profiles have the 'hide' setting enabled when the agency setting was changed to disable the ability to hide your information.
Steps to correct these record displays:
  1. List names of profiles to correct.
  2. Click 'Admin Settings', select Vols&Staff Tab; place a check mark in Privacy section - 'You may share my info'
  3. Edit each profile in your list, check off 'you may share my information', and 'Save'.
  4. Click 'Admin Settings', select Vols&Staff Tab; remove the check mark in Privacy section - 'You may share my info'

Protect Messaging Worker identity by using Alias Name in Profile

When a worker conducts a Chat, their 'Alias' name will default in the chat window during the chat (if one exists in their profile). Otherwise their real name will display there (not a preference).
How to add an Alias name to a worker's profile:
  1. The worker may select 'My profile' or an Admin may click the worker's Name on the Vols & Staff list.
  2. Click 'Edit'
  3. Enter an 'Alias' name.
  4. Click 'Save'.

Available User Settings

  1. Only Admins have access to the Admin Tools.
  2. There are more settings that affect each person individually, inside each User Profile.
Aliases 
  1. Indicate if you want to turn on the use of aliases
  2. Indicate if you want alias to show in statistics instead of real names
  3. Indicate if you want alias to show in system emails (instead of real names)
Photos in Volunteer & Staff (User) Profile
  1. Turn on/off use of photos.
  2. Indicate if photos should be made visible from uncertified computers
  3. Indicate who should be able to view photos (which security levels)
Phone numbers 
  1. Indicate if all or only preferred phone numbers should show in the list of users on the main Vols and Staff page.
Privacy
  1. Indicate if you want users to have the option to share/hide their user profile information from others.
  2. Define if the initial default setting on "share/hide option" should be share or hide.
Hide info from people who are not Admins or Supervisors
  1. Allows you to hide various components of all of your user profiles from being seen by anyone who does not have Admin or Supervisor security in iCarol. These settings will be enforced even when the privacy setting ("You may share my info...") is chosen in a profile.
Steps on how to change User Settings:
  1. Click on "Admin Tool" on the left hand menu.
  2. To see all settings, ensure that the drop down selection shows "show all settings" instead of just "show standard settings".
  3. Click on "Vols and Staff" tab.
  4. Make your changes. Please click on blue question marks (?) to learn more about each setting.
  5. Click on "Save all settings" button near the top of the page.
