New Vol-Staff: Create, Edit Users

How to create new users:

To create a new user,
      1. Click on “Add User” from the Action Bar

      2. A new empty volunteer-staff record will be created, complete all required fields along with any optional ones your organization is also using. Once entered.
  1. Click "Save and Close" will save changes and close the tab 
  2. Click "Save" to save your changes and continuing working
  3. Click "Cancel" to go back
To Create Multiple users 
  1. In the Action Bar, click on the dropdown arrow in the “Add User” button
  2. Click “Import Users” from the menu

      3. Follow the on-screen prompts to download the volunteer-staff import template, once you populate it, upload and import multiple volunteers-staff users



Viewing Vol-Staff record details

To view the details of a Vol-Staff record, click on the open icon next to the image
The record will open in a new tab
The Vol-Staff record has many optional fields that can be used to manage this user and view summaries.
Navigation of the individual Volunteer-Staff Record is done either by scrolling or using the focus panel to jump to different sectionsl

Sections:
  1. User Details: Includes names, titles, gender, pronouns, background and other information about the user.
  2. Contact Information: Includes email address, phone numbers, addresses and emergency contact information.
  3. Notification and Preferences: Includes general preferences for the user and a list of email and/or SMS notifications the user may like to receive
  4. Skills and Achievements: Includes assigned skills and achievements. 
  5. Programs: Includes the assigned Programs for the user and follow-up preferences when enabled, and includes access to the history of changes for Program assignment (Note: Available when subscribed)
  6. Security: Allows the vol-staff user to modify privacy settings for their vol-staff record, and access to the Reset Password
  7. Administration: Is available to Admin and Supervisors, but only when viewing the vol-staff records of others. This area includes account status, security levels, roles, additional security options, sign on logs, history of changes and more.

Account Security and Passwords

Administrators and those with permissions can view under the Administration section
- The total number of sign-on 
- The date of the last sign-on
- The browser used for the last sign-on

Profile Privacy can be enabled by the Vol-Staff user. When enabled, other Volunteer-Staff users will not be able to view the details of the Vol-Staff record. The Vol-Staff record will still display on the Vol-Staff List.


Password Reset Passwords can be reset by administrators or by the Vol-Staff user themselves.
      Under the Security section (and/or under the Administration section for Administrators) click on “Reset Password”
- Administrators will be displayed a temporary password to share with the Vol-Staff user. This temporary password will allow the user to sign into iCarol, and to then change their password before they continue.

Editing/Updating existing user

Open the record details
The first button in the Action bar will show "Close"

Select any field and make a change
The action bar will update to show "Save and Close", "Save", or "Cancel"
  1.  Save and Close” will save any changes and close the tab
  2. “Save” will save any changes while keeping the Vol-Staff record details open
