Legacy Shifts: Assign Vols-Staff to Shifts

How to Assign Vols-Staff to Shifts

After you have setup your Shifts, you will need to assign users to the Shifts. It is important to keep in mind the following before you get started: 
  1. By default, a user may only be registered for one 'On-Call' Shift and/or one 'Normal' Shift at any time; see details at the end of this Help Article about how to adjust this setting
  2. If you are using Messaging or Programs, then users can only sign up for Shifts in Program(s) they belong to
  3. Admins and Supervisors can assign (or remove) any user to a single or recurring Shifts at any time
  4. The system will not assign someone to the same Shift more than once per day, and will only assign them to an open Shifts 
  5. Recurring Shifts with no end date will automatically be scheduled one year out in time (constantly updated on a daily basis until shift is deleted)
Steps to assign users on single and recurring shifts:
  1. Click on 'Shifts' on the left hand menu.
  2. In the classic view calendar - Click on the day on which you want to sign up for a Shift. You will see a list of shifts for that day just to the right of the calendar.
    1. In the graphical view calendar - filter on and/or scroll to the date you want to sign up for.
  3. If you see a shift marked with “OPEN” it is still available. Click on the word "OPEN". (If there are multiple shifts available at the same time, it does not matter which one you choose).
  4. Within the green box, select a user name from the drop down list
  5. Optional based on your organization's settings: select 'location that this person is going to take calls in' the drop down list below the name if applicable, and select 'Paid shift' if applicable
  6. Click on "Sign Up" (or "Cancel" if you do not want to save any changes)
  7. You will now see the person selected next to this shift (and if a location has been selected the location initial will be listed next to the name in parenthesis). For example: Claudia (O).
Recurring shifts:
  1. Classical View: After you click on "Sign up", a new orange box appears with a "repeating assignment" link, you may assign this person on recurring shifts. Graphical View: After you sign up the worker, click on the shift you just assigned and then click on the blue/purple 'Repeating assignment' link.
  2. A box appears with a 3 step process:
    1. In Step 1: select "assign..." (the default)
    2. In Step 2: Define the recurring schedule and dates (select 'no end date' if you wish it to keep repeating)
    3. In Step 3: click on "make these changes" button to apply the action you just selected.
Important Notes:
  1. If the repeating function for 'every day' appears to omit certain days, review your shift definitions to ensure the shift name, start and end time are all identical. If any of these three factors do not match, the repeating function will conservatively ignore a shift for consideration as a 'repeating assignment' target.
  2. If a worker is already assigned to one of these shifts, the new assignment is not effective for that shift
