What is the Events Calendar on the Home page?

Events are scheduled activities shown on the Events calendar. You can choose what to display during your selected time period, including today, day, week, month, or agenda view. Filters let you pick types of Events to show, including your organization's events, scheduled shifts, shifts needing substitutes, iCarol events like training and maintenance, and system events like when the Shift calendar opens. By using the Events calendar, you can stay organized and ensure you never miss important activities and updates.

 

How to navigate the Events calendar:

  1. Filter the Event types displayed using the filters at the top of the Events card.

  1. To see the previous or next day/week/month, navigate using the arrows or drop-down calendar picker at the top of the Events card.

  1. Choose your preferred view using the selections at the top of the Events card.

          

           

 

How to view Event details;

  1. Navigate and locate the Event on the Events Calendar
  2. Click on the Event to view the details in a popup; different information will display based on the event type
    1. My Shifts will include a link to the Shift
    2. Events and iCarol will include details about the event

  1. Click Close

 

How to create an Event

There are two ways to create Events.

  1. Events can be created with News and Announcements by selecting the "Add linked calendar event on save" option when creating or editing the News and Announcement post
  2. Created directly on the Events calendar

 

To create an Event from the calendar

  1. Click any day/time on the calendar (Tip: Clicking the Date/Time of the Event can save you steps!)
  2. In the popup Edit Calendar Event window, enter:
    1. Title
    2. Category options include Event, Meeting, Volunteer Training, Deadline, Holiday, Vacation, Birthday, Outreach or Marketing, Special Event
    3. Program, available if you use Programs (Note: Choosing a Program will limit the access to this Event to those within those Program)
    4. Start Date/Time (In your time zone, these dates/times will display in the Vol-Staff users time zone when viewing)
    5. End Date/Time (In your time zone, these dates/times will display in the Vol-Staff users time zone when viewing)
    6. Unselecting "All Day" will allow you to choose Times
    7. Choose if the Event repeats, options include:

                                                               i.      Never (does not repeat, this is the default), Daily, Weekly, Monthly, Yearly

                                                             ii.      Repeating pattern, such as every 10 days, 2 weeks, on Mondays and Tuesdays, on the 21st of every month, third Tuesday of every second month, etc.

                                                           iii.      And when the Event should end, such as Never, on a specific date, or after a count of events (i.e. end after 4 events)

    1. Attendees free text
    2. Location free text
    3. Description
    4. Show this to Everyone, Trainers and Administrators, Board Member and Administrators, Administrators Only, Trainers, Board Members and Administrators
  1. Click Save

 

Notes
NOTE: When using "Show this to" along with "Programs", Volunteer-Staff users must be a member of bothto view the Event on the calendar.

Notes
Note: For repeating patterns like "Every 6 months, on the Second Wednesday," if your start date is after the pattern start date, the Event will show in the next month. For example, if you create an event starting on Wednesday, April 23 that repeats every 6 months on the Second Wednesday, the first Event will be scheduled on May 14, the next "Second Wednesday" after the start date.
