Multi-Language Capability

iCarol offers the ability to use iCarol in both English and French using the Multi-Language Capabilities. This feature allows Resource editors to create French translations of Resource records, and for Admins to customize and translate the text on various iCarol pages to French. It is important to note that not all areas, feature and pages of iCarol support French translations, in addition some status and error message on supported pages are not fully translated.

Features and pages which support French user interface translations include:

  1. Main menu navigation list (Home, Vol-Staff, Shift, Contacts, etc.)
  2. Chatboard
  3. Contacts (dashboard, create/edit/view, advanced search) 
  4. Profiles (dashboard, create/edit/view, search)
  5. Resources (main search, create/edit/view)
  6. Resource Automatic Verification (Requests, service provider forms, response queue, email templates)
  7. Statistics

Note, this feature may have an additional cost associated with it. If your organization is interested in enabling this feature, then a designated Support Contact from your organization can go to 'Help' in the left side menu and submit a case to request more information.

How to customize User Interface (UI) translations

When the Multi-Language Capability is enabled, Admins can configure and translate the text displayed on pages within iCarol that support translations. To configure and customize text translations:
  1. Log into iCarol as an Admin or user with access to Admin Tools
  2. Click on Admin Tools from the left menu
  3. Click on the Setup tab
  4. Click on “Translate the user interface…” from the Your agency’s logo and description section
  5. Each page and label is displayed in English with an optional French field for the translation.
  6. Add the user interface (ui) translation values
  7. Click the Save button to apply changes


How to change the user interface (UI) language

When the Multi-language Capability is enabled, a drop-down list including English and French will display on the top right hand corner of iCarol. Vol-Staff users can at anytime switch between the English and French user interface by choosing from the drop-down list.
Important: Changing the displayed language for the page will cause the page to refresh, and any unsaved/submitted data will be lost.  It is recommended to save changes, save drafts or submit records prior to changing the displayed language.

How to set vol-staff default language

How to specify the date/time and decimal formats for exports

When the Multi-Language Capability is enabled, Admins can choose the format to use for date/time and decimal numbers. This can be changed by:
  1. Log into iCarol as an Admin or user with access to Admin Tools
  2. Click on Admin Tools from the left menu
  3. Click on the Setup tab
  4. Choose the default language from the Regional Formatting for Exports drop-down list


How to configure Contact Form translations

When the Multi-Language Capability is enabled, Admins can configure Contact Forms to support some user interface (ui) translations. iCarol customers have chosen a few different ways to support French vol-staff when collecting contact or interaction data. Here are some examples of what we have seen:
  1. One form created for English contacts/interactions and a separate form used for French contacts/interactions (This can be beneficial if the incoming line or service pre-identifies the help-seekers language, or the language of the vol-staff member. The drawback is that maintaining two forms with the same questions can cause data aggregation issues for reporting as questions and answers will be considered different even if the meaning is the same.) 
  2. One form used for both English and French contacts/interactions, using translated fields. All Categories, Group and Fields on the Contact Form will need to be edited to include French values. (This can be beneficial as the value of the question and answer choices will display in the vol-staffs preferred language or the chosen display language, and will support data aggregation.)

  3. One form used for both English and French contacts/interactions, using the primary name field with English and French labels in the same field separated be a slash (/) or dash (-). All Categories, Group and Fields on the Contact Form will need to be edited to include French values. (This can be beneficial as both values will display regardless of the vol-staffs preferred language or the chosen display language when creating/managing records, using statistics filters, and in exports.)

This feature is currently only supported in report V4.

Contact Record Statistics

When the Multi-Language Capability is enabled, Admins and users with access to Statistics will have access to Content Filters with values of their choosing when French names exist for Contact Form Categories, Groups and Fields when using Analysis reports. The Contact Forms included in the Statistics reports will remain the same regardless of the chosen display language.

Contact Record Exports

By default the value in the “Name” field will be included in exports, outbound API, and other services – even if French is the systems default language.


How to manage/edit translated Resource records

When the Multi-Language Capability is enabled, English base resource records can have a translated French culture record allowing for manual translation of text and content to French. When viewing Resource records, the record that matches the current display language will display and return in search results, when a translated record is not available the English base record will display by default. Both the English and French records have the same resource agency number for identification purposes.

When editing Resources, Admins and vol-staff with resource editing permission will see text at the top of the screen identifying the language of the record currently being edited, and will  be able to choose to edit the translated record by clicking on the “Click here to edit the French/English translation” link.


When the “Click here to Edit the French/English translation” link is selected, the translated record will open in a new window allowing for side-by-side editing of both versions.
Note: Coverage area, Categorization and Taxonomy assignments apply to both English and French translated records, so changes you make will apply to both versions.

French Taxonomy

At this time, 211 LA County Taxonomy of Human Services offers taxonomy versions for the U.S. in English, and in Canada the taxonomy is available in both English and French. (211taxonomy.org) When the Multi-Language Capability is enabled, for Canadian customers both the French and English taxonomy is available for customization, assignment and searching of resources.

Resource Record Exports

When the Multi-Language Capability is enabled, and both English and French resource records are maintained both versions will be included in the Standard Resource Export. The version of the record can be identified by using the “LanguageOfRecord” column which will display either ‘en’ for English, or ‘fr’ for French. As both English and French records share the same resource agency number for identification, there will appear to be duplicate rows in the export until filtered by language.

Resource API

When the Multi-Language Capability is enabled, both English and French records can be searched and return using the Resource API.

Public Resource Directory

At this time, the Public Resource Directory only supports English base records only.
