Understanding Caller Profile Data Export Files

When you use the standard data export tool to extract your Caller Profile data. The data is exported into three (3) files, which each contain different information, as follows:
  1. Repeat Caller Profiles: this file includes data for all the custom fields from your contact form versions (call reports) that are set to appear in Profiles. The fields from this file are located on the Background tab in your Profiles
  2. Repeat Callers: this file includes data for all hard coded fields from your Profiles; The fields from this file are located on the Profile tab in your Profiles. Note every field appearing on the Profile tab is hard coded, meaning they can't be renamed or removed.
  3. Repeat Caller Relations: this file includes data for all the relationships between Profiles.

File: Repeat Callers

The Repeat Callers file includes data for the following "hard coded" fields from the Profile, with each field listed at the top of the file as a column heading, resulting in one row of data for each Profile: 
  1. CallerNum
  2. Alias
  3. CallerLastName
  4. OtherNames
  5. IsRepeatCaller
  6. IsSexCaller
  7. IsHighAlert
  8. Instructions
  9. Permissions
  10. CallerKeywords
  11. History
  12. PhoneNumberFull
  13. PostalCode
  14. CityName
  15. CountyName
  16. StateProvince
  17. Program
  18. OrgNum
Please be aware the following hard coded fields ARE NOT included in the file:
  1. Opening Line
  2. Relationships
  3. Instructions in case assistance is needed
  4. Other phone numbers used
  5. Email
This file is most helpful when you're looking to review all profiles in your system, as this export is the only place you can go to see a complete list of all your profiles (both repeat and non-repeat) in one place. This file is also helpful if you wish to review the details in any of the hard coded fields noted above.
Tip: if you find a profile in this file that you want to view in iCarol, you can do so quickly by first logging into iCarol, then completing the following steps:
  1. Search for and view and existing Caller Profile in your system
  2. Go back to your 'Repeat Callers' file and copy the 'CallerNum' from column A of this file
  3. Go back to your iCarol browser with the Caller Profile appearing and paste the new 'CallerNum' you copied to replace the existing one 
  4. Click enter/go and the page will reload with the profile you wish to review

File: Repeat Caller Profiles

The Repeat Caller Profiles file includes data for all custom fields from your contact form versions that are set to appear in Profiles, with each custom field answer listed as a separate row of data, resulting in multiple rows of data for each Profile. The following appear as column headings in this file:
  1. Name
  2. CallerNum
  3. CategoryName
  4. GroupName
  5. Answer
  6. OrgNum
This file is most helpful to use if you're looking for all profiles in your system where a specific custom field answer is selected. For example, if you have chosen for your Profiles to include the custom field from your contact form version named 'Contact Information: Veteran?' and you want to find all Profiles in your system where 'Yes' was selected as the answer to that question, you can easily do so by using this file. 

File: Repeat Caller Relations

This file includes the defined relationships between Profiles, each row in the file represents one (1) relationship, and each Profile can have multiple relationships. The following appears in the column headings in this file:
  1. CallerNum
  2. Name
  3. CallerLastName
  4. RelationshipType
  5. RelatedCallerNum
  6. RelatedCallerName
  7. RelatedCallerLastName
This file is most helpful if you are looking for profiles which are related to other profiles in your iCarol system.
