ReferralQ Statistics Reports
iCarol has created basic Statistics Reports for users of the ReferralQ, allowing Admins and users with access to iCarol Statistics to answer common reporting questions.
Report: Count of Status
Use this Chart Type to identify how many times a Contact Record assigned to a ReferralQ was moved to any status. For example, if a Contact Record is moved to an "Assigned" status, then back to pending, then back to "Assigned" in the same month, there will be a "2" displayed for "Assigned" in this report – one for each time the status was selected. This report may be especially useful to determine how many referrals it takes before a help seeker receives services.
- Log into iCarol as an Admin or user with access to Statistics
- Click on "Statistics" from the left menu
- Click on "Chart Type" and choose "Count of Status" from under the "ReferralQ" section
- Optional: Apply additional location, timeframe, Contact Record and Vol-Staff, ReferralQ or Content Filters
- Click "Update"

Report: Count of Status (unique)
Similar to the Count of Status report, this Chart Type identifies how many unique Contact Records were assigned any status. This report counts the number of Contact Records in your ReferralQs, instead of how many times a Status was chosen. For example, if the same Contact record was moved to an "Assigned" status, then back to pending, then back to "Assigned" in the same month, there will be a "1" displayed for "Assigned" in this report – one for each Contact Record that had that status chosen at least once. This report may be especially useful to determine how many separate Contact Records or People you are serving.
- Log into iCarol as an Admin or user with access to Statistics
- Click on "Statistics" from the left menu
- Click on "Chart Type" and choose "Count of Status" from under the "ReferralQ" section
- Optional: Apply additional location, timeframe, Contact Record and Vol-Staff, ReferralQ or Content Filters
- Click "Update"
Report: Done Status Summary
This report only includes Contact Records assigned to ReferralQs, which are assigned to a "Done" meta status in the report timeframe—recognizing that it may take multiple months for a Contact Record to move through the service delivery workflow. This report shows:
- Total Days in Status (Pending or Assigned meta status)
- Average Days in Status (Pending or Assigned meta status)
- Status Selection Count (Pending or Assigned meta status)
- Contact Record Count (Pending or Assigned meta status)
Create Report:
- Log into iCarol as an Admin or user with access to Statistics
- Click on "Statistics" from the left menu
- Click on "Chart Type" and choose "Done Status Summary" from under the "ReferralQ" section
- Optional: Apply additional location, timeframe, Contact Record and Vol-Staff, ReferralQ or Content Filters
- Click "Update"
ReferralQ Standard Export Files
When you create a Contact Record Data Export, the following files are included with data related to this feature: ReferralQDone, ReferralQInProgress, and ReferralQHistoryOfChanges.
In the ReferralQDone and ReferralQInProgress files, each ReferralQ and Status appears as the rows, with details about the ReferralQ as the columns. Each contact record may appear more than once and can be identified by the ‘ContactRecordNum’ column.
The ReferralQHistoryOfChanges file has each Contact Record where a ReferralQ was saved, and has the history of changes for that related Contact Record, including the new and old values, who changed the information, and the date it was changed. Each contact record may appear more than once and can be identified by the ‘ContactRecordNum’ column.
