Configure & Customize the Taxonomy
iCarol clients must have an active membership with 2-1-1 Taxonomy to utilize the iCarol AIRS Taxonomy Tools.
Once you subscribe to the iCarol 211 Taxonomy Tools, you get:
- Ability to categorize resources with Taxonomy terms
- Call report tools enabling you to record and report the met and unmet needs of your help seekers
- Advanced searching capabilities taking advantage of the Taxonomy hierarchical category system, Use References and See Also References
- Unless their is an exception, we schedule the update in iCarol within a few weeks of the latest version published by 211 Taxonomy; the update schedule is communicated to Admins and Supervisors on the Dashboard under the Announcements, tips, and tricks section
- Tools to manage resources that may be categorized in retired or inactive taxonomy codes
- Tools to customize the Taxonomy to best meet your agency’s needs, including making terms inactive or active, customizing Use References, modifying Taxonomy term names, and highlighting the most used terms for faster searching
- Options to import a custom Taxonomy filter from the 211 Taxonomy website
- Ability to link Taxonomy terms to custom resource categories
A membership to the 211 Taxonomy is not included in the iCarol Taxonomy Tools kit. Therefore, you must submit to the Support team proof of your current 211 Taxonomy membership.
Note, this feature may have an additional cost associated with it. If your organization is interested in enabling this feature, then a designated Support Contact from your organization can go to 'Help' in the left side menu and submit a case to request more information.
Upload New Custom Taxonomy Filter
This feature is only available to Admins. Custom taxonomy "filters" are administered on 211taxonomy.org website and anyone with a subscription to this tool can download them at any time.
These "filters" are a subset of the full taxonomy and allow you to deactivate a large number of taxonomy terms. This can be particularly useful when you want your taxonomy customizations to match those of any other entities using the taxonomy as well.
Warning: When you import a new custom taxonomy filter, all of your existing taxonomy customizations will first be deleted from your system.
Follow these steps to import a new custom taxonomy filter:
- Download your custom filter from the 211taxonomy.org website. The file will be a .xml file.
- in iCarol, click Resources > Manage Resources > Customize the taxonomy
- Scroll to the bottom of the page to the Admins only – Import a custom taxonomy filter section (non-admins will not see this)
- Click Browse and select the XML 211Taxonomy file
- Click "Delete all existing taxonomy customizations in my iCarol system and import this new filter"
You will receive an email notification when the new customization has been uploaded and applied to your system.
Taxonomy Update
The AIRS 211 Taxonomy terms in iCarol are updated
after official updates to both the US and Canadian/French terms are published to the 211Taxonomy.org website.
Sometimes new terms are created and posted to the AIRS Networker before publishing an official update, as this is helpful for AIRS Taxonomy (non-iCarol) users who who manage their own taxonomy database and can add the new terms before the official update is published.
For the purpose of iCarol, we must wait for the official update to be published for both the US and Canadian/French terms before processing. Customers who are waiting for new terms to be officially published should work with 211Taxonomy.org to request official updates.
- You can see when the currently installed version was released by going to the Main Resource page, click on 'Manage resources' and then click on 'Customize the Taxonomy'. At the top of the page it says 'Currently installed version of the taxonomy was released on date it was released by AIRS.'
- Updates will be announced ahead of time in the iCarol Dashboard, the Home page on accessible to Admin and Supervisor level users. Past updates can also be viewed here by clicking the link to 'See all news' and finding the last 'Taxonomy Update' post.
Custom Filter/Modifications to Custom Filter:
When a Taxonomy Update occurs, any custom filter you have is preserved and will be applied automatically to the newly updated Taxonomy. We would only need to re-import your custom filter if/when you have made modifications and make a request for us to update it.
Highlighting Taxonomy Terms on Resource Search Page
Highlighting Taxonomy terms can help users quickly find frequently used or important Taxonomy terms, allowing them to search for and make referrals to resources categorized with those terms.
To highlight a Taxonomy term, complete the following steps:
- As a user with permission to edit resources, click Resources in the left side menu
- Click Manage Resources on the right-hand side of the page
- Click 'Customize the Taxonomy' under the Taxonomy section
- Using the taxonomy tree, drill down to the taxonomy term you would like to highlight and click on it
- In the box just next to the taxonomy tree, select the checkbox next to the setting 'Highlighted term on main Resources page' and click 'Save info above'; to remove a highlighted term you would deselect the checkbox next to the setting
- Note, on the same page, in the upper right-hand corner, there is a link called 'Highlighted Taxonomy terms'. Clicking this will take you to a list of the current highlighted terms where you can remove terms from the highlighted list, or change the order they are displayed
After a Taxonomy term is highlighted, users see the highlighted term on the left side of the main Resources page, under 'Highlighted Terms', which they can click to complete a search for the highlighted term.
Modify/Customize a Taxonomy Term Name
Although you cannot create a new taxonomy term, it is possible to modify and customize the name of any existing taxonomy term.
How to Modify/Customize a Taxonomy Term Name
- From the main Resources page, click the Manage Resources link
- On the main Manage Resources page, under the Taxonomy and Categories section, click the link to 'Customize the Taxonomy'
- Use the Taxonomy Tree to locate the term you wish to edit
- Once you have the term selected that you wish to edit, you'll see a 'Customization' box appear between the Taxonomy Tree and the list of resources categorized with this term. In the Customization box you will see a second box labeled 'Modified name'
- Type the new name you would like to use in the 'Modified name' box
- Click the 'Save info above' button
Since Statistics and listings are based on the underlying taxonomy code, customization might cause unexpected data/results if an existing taxonomy code's name is changed substantially. Consequently, we recommend that you stay as close to the existing taxonomy term as possible to minimize unexpected results when you create taxonomy lists or reports.
Customize Taxonomy Term Use References
When using the AIRS Taxonomy Tools, you have the ability to customize the Use References associated with each Taxonomy term. When customizing your Use References you have the following options for the type of customization you'd like to complete:
- Standard Use Reference Customization: deactivate the Standard Use References as defined by the AIRS
- Custom Use References: create your own Custom Use References that can be activated and deactivated
How to Edit Standard and Custom Use References
- From the main Resources page, click the Manage Resources link
- On the main Manage Resources page, under the Taxonomy and Categories section, click the link to 'Customize the Taxonomy'
- Use the Taxonomy Tree to locate the term you wish to edit
- Once you have the term selected that you wish to edit, you'll see a 'Customization' box appear between the Taxonomy Tree and the list of resources categorized with this term. In the Customization box click the link to 'Customize these Use References'
- A new window/tab will open with tools to edit the Use References. On this page you'll see all Standard and Custom Use References associated with this term
- To activate/deactivate a Standard Use Reference, under the related section select/deselect the checkbox next to the name of the use reference to activate/deactivate it, and click 'Save info above'
- To add a new Custom Use Reference, enter the name of the new use reference in the text box at the bottom of the page and click 'Add Custom Use Reference'
- To activate/deactivate a Custom Use Reference, under Custom Use References select/deselect the checkbox next to the name of a Custom Use Reference to activate/deactivate it, and click 'Save info above'
How to export your customized Taxonomy
If your organization is subscribed to the iCarol AIRS Taxonomy Tools, after you have customized your Taxonomy, you can complete the following steps to export your customized Taxonomy list to a CSV or Excel file:
- As a user with permission to manage resources, from the main Resources page click the Manage Resources link
- On the main Manage Resources page, under the Taxonomy and Categories section click the link to 'Customize the Taxonomy'
- Towards the top of the page click the Excel icon to 'Export your customized taxonomy to Excel'
- Open the CSV or Excel file to review your customized Taxonomy. Notice the file includes a row for every Taxonomy term and the following columns for each Taxonomy term:
- Code - the alphanumeric code associated with the Taxonomy term
- Name - the name associated with the Taxonomy term
- Status - if the Taxonomy term is active or inactive in your system
- CountOfAssignments - the number of resources the Taxonomy term has been assigned to
