Public Resource Directory Portals based on a Custom Resource Field

When you have the Public Resource Directory (PRD) feature enabled in your iCarol system, you have access to an advance feature, at no cost that allows you to create Public Resource Directory Portals.  Portals allow you to share a subset of your resource information with public users.

This can be useful when you have a large database, or specific partnerships where you want limit what resources can be searched.  You can setup any number of Public Resource Directory Portals at no cost, which filter search results by a Custom Resource Field added, and managed by you, to your Resource Database.

Steps to create a PRD Portal

  1. Create a Resource Custom Field, as either a check-box if you will select more than one value per resource record, or a drop-down menu if you will select only one value field per resource.  (Example Check-box field: Custom Field “Portal” with items “Youth Services”, “Mental Health Services”, “Domestic Violence Services”.)
  2. Add or Edit the Resources in your database, to include one or more value from the Custom Field you setup to filer the portal.
  3. Modify the PRD URL, to include the Custom Field ID number of the Custom Resource Field created.

How to find the Custom Field ID Number:

  1. After you have created a Custom Resource Field, click on its name to view the edit details.
  2. In your Internet Browser URL bar you will see the URL update to include a “Group=###”.  This number identifies the unique number assigned to the Custom Resource Field you created.  (Example: https://webapp.icarol.com/secure/Resources/ResourceItemsEdit.aspx?Group=823)
  3. Next, click on one of the Fields/Items that you setup in the Custom Resource Field.  The URL in your Internet Browser bar will update to include a “&Field=####”, this is the unique value assigned to the field/item you created.  (Example: https://webapp.icarol.com/secure/Resources/ResourceItemsEdit.aspx?Group=823&Field=2245)
  4. Write down/save the Field ID number as you will need/use it when creating the PRD URL.

How to create the PRD Portal URL:

  1. Locate the PRD URL for use on your website, wither it be the Simple Link method, or the Embedded Link method.  (Example of Simple Link: http://www.icarol.info/PublicResourceDirectoryFrm.aspx?org=45)
  2. Append to the end of the URL an ambersand “&”, the letters RIF1, an equals sign “=” and finally the Field ID Number you found, and wrote down/saved from the above steps.  This will enable the filtering of resources in search results that have this Custom Field Item selected.  (Example: http://www.icarol.info/PublicResourceDirectoryFrm.aspx?org=45&RIF1=593)

Tips:
  1. One Custom Resource Field can have multiple Field values to choose from, and can be used to populate multiple PRD Portals. (Example: Custom Field Titled “Portal”, with check-box style field selections of “Youth Services”, “Mental Health Services”, “Domestic Violence Services”, etc.)
  2. By creating your Custom Field in the Check-box style, you can select more than one field value for a resource, to make it available in multiple PRD Portals (Example: A service may be available for Youth with Mental Health Issues, so selecting both “Youth Services” and “Mental Health Services” from the Custom Resource Field.)
Important to Note:
All of the PRD Portals you create will use the same PRD Settings, such as Logos, colors, font size, page titles, welcome messages, etc.  If you wish to use different settings for your PRD Portals, this is possible by subscribing to an additional limited iCarol system for each portal you wish to enable with different settings.
